Terms and Conditions of Bookings

1Scope
These booking terms apply to all delegate, partner and hosted places at THE LIVE Barcelona 2026. They sit alongside the full Terms and Conditions published at wwthelive.com/terms. Where the two documents differ on a booking matter, this document applies.
2Contact and Booking
Who can I speak to about the event? Email hello@wwthelive.com, use the contact form at wwthelive.com/contact, or call us on +34 644 871 105. We reply to booking enquiries within one working day.
How do I book? The fastest route is online at wwthelive.com/tickets. You can also email hello@wwthelive.com and we will raise an invoice for you. Once your booking is complete you receive a confirmation email with your personal QR pass, usually within a few minutes and always within 24 hours. If nothing has arrived, check your spam folder first and then write to us.
3By Invitation and by Review
THE LIVE is a curated forum. Places are reviewed against the profile of the room we are building: principals, family offices, founders, investors and the partners who serve them. Purchase of a ticket is a booking request, not an automatic right of admission. If we are unable to confirm your place, your payment is refunded in full within 10 working days and no fee of any kind is retained.
4Who Attends Free of Charge
Complimentary hosted attendance is reserved exclusively for verified family office representatives, limited to 100 hosted places. Applications are reviewed individually and verification is required before a Family Office Pass is issued. Advisors, consultants, service providers, brands and other professionals attend on a delegate ticket or as a partner.
5Passes
Four categories are available: Standard Pass, Executive Pass, VIP Pass and Family Office Pass. What each includes is set out at wwthelive.com/tickets. The price that applies to your booking is the price displayed at checkout at the moment you complete it. Earlier rates close without notice once the allocation at that rate is taken.
6Payment
Online bookings are paid by credit or debit card through our secure checkout. For invoiced bookings we accept bank transfer. Payment terms are 14 days from the date of invoice, and in all cases payment must clear before the event opens. Places are not held against unpaid invoices once the event is sold out.
7Availability and Allocation
Places are allocated strictly on a first come, first served basis, and several categories are capped by design rather than by demand. We strongly recommend booking early, particularly for the VIP Pass, where numbers are deliberately small.
8What Is Included in the Ticket Price
Access to the sessions and networking programme for the days covered by your pass, refreshments through the day, lunch at the venue and the evening receptions attached to your pass category. Please tell us in advance about allergies or dietary requirements and we will arrange suitable food for you.
The price does not include travel, transfers, visas or hotel accommodation. Delegates arrange and pay for their own stay. Where a preferential rate has been negotiated at a partner hotel, we share the booking details with confirmed delegates by email.
9Cancelling a Delegate Booking
All ticket purchases are final and non-refundable, unless applicable law requires otherwise or unless the Organiser is unable to confirm your place as described above.
A substitute delegate is always welcome at no extra charge. To make the change in advance, email hello@wwthelive.com with the new delegate's full name, job title, company and email address, and we will reissue the pass. A substitution can also be handled at the registration desk on the day, provided the replacement can show that they are attending in place of the original booking. Passes are personal, remain the property of the Organiser and may not be resold or transferred to a third party for value.
10Cancelling a Partnership or Sponsorship Booking
Partnership agreements are contracted separately and each signed agreement governs its own terms. Unless that agreement says otherwise:
- A non-refundable administration fee of 25% of the contracted value applies to every cancellation, reflecting category exclusivity reserved on your behalf and costs already committed.
- A 50% cancellation fee applies to cancellations received more than 90 days before the event.
- A 100% cancellation fee applies to cancellations received within 90 days of the first event day.
- As a gesture of goodwill, the Organiser may transfer a cancelled partnership to the following edition of the forum or to another event held within 12 months, subject to availability and at the Organiser's discretion.
Partner branding, print and signage deadlines are firm. Materials received after the published artwork deadline may not appear in printed collateral, and this does not reduce the fee.
11Changes to the Event
For reasons outside our control it may be necessary to alter the programme, the speakers or the running order. Any material change, meaning a change of dates, venue or opening time, is emailed to every registered delegate as soon as it is decided. Changes to speakers and session timings are published on the event website, so please check the programme pages shortly before you travel. A change of speaker or session content is not grounds for a refund.
12If the Event Cannot Go Ahead
If the Organiser cancels the event outright, delegates receive either a full transfer of their pass to the rescheduled or following edition, or a refund of the ticket price, at the delegate's choice. The Organiser is not liable for travel, accommodation or any other costs incurred by delegates in connection with a cancelled, postponed or relocated event. We recommend booking flexible travel or taking out event insurance.
13On the Day
Arrival. Please go to the registration desk on arrival with your QR pass, either printed or on your phone, together with government-issued photo identification. Attendance is restricted to those aged 18 and over. Your badge is issued at the desk and must be worn and visible at all times inside the venue. A lost badge is reissued only after we have verified your identity against the registration list.
Refreshments. Tea, coffee and light refreshments are available from the morning registration desk and during the breaks, lunch is served at the venue, and there are evening receptions on the days indicated in the programme. Tell us in advance about any allergy or dietary requirement and we will take care of it.
14Conduct
THE LIVE is built on discretion and mutual respect. Harassment, aggressive or threatening behaviour, excessive intoxication, illegal substances and unsolicited selling on the floor are grounds for removal without refund. The Organiser reserves the right to refuse or withdraw admission where conduct affects other guests or the character of the forum.
15Photography, Recording and Privacy
The event is photographed and filmed. By attending you agree that your image may appear in material produced by the Organiser and its partners. Delegates may not record sessions, whether by audio, video or automated transcription tools, without prior written permission. Contact details of other attendees are shared only through the channels we provide and may not be scraped, copied or used for bulk marketing.
Personal data. Booking data is processed to administer your attendance, issue your pass, meet your dietary and access requirements and keep you informed about the forum. It is not sold. Full details are in the privacy notice at wwthelive.com.
16Disclaimer and Governing Law
The Organiser does not endorse or recommend any of the companies, individuals or firms speaking at, attending or associated with THE LIVE, nor any information they present. All content is provided for information only and on an “as is, with all faults” basis. The Organiser relies on speakers and participants to present accurate and reliable information and gives no warranty for it. Nothing said at the forum constitutes investment, legal, tax or medical advice. The Organiser is not liable for any decision made or action taken on the basis of information obtained at or as a result of attending the event, nor for any agreement reached between attendees.
Attendees participate at their own risk. The Organiser is not responsible for personal property lost or damaged at the venue.
These booking terms are governed by the laws of the State of Delaware, United States, and the courts of Delaware have jurisdiction over any dispute, without prejudice to any consumer rights you hold under the law of your country of residence.
